Job Title: Part-Time Office Administrator & Bookkeeper
Location: Edison Road, Aylesbury HP19 8TE
Job Type: Part-Time (3.5 hours per day, cover mid day lunches, flexible otherwise)
Pay: £12-£16 per hour based on experience
About Us: We are a small team of IT Support roles, looking for someone to help with non IT administrative tasks to take over for retiring Office Admin. We service local companies across various industries, including retail, healthcare, and professional services, providing them with outsourced IT Support, such as IT helpdesk, IT Managers, and IT Director roles.
Role Overview: We are seeking a highly organised and proactive individual to join our team as a Part-Time Office Administrator & Bookkeeper. This role is perfect for someone who is detail-oriented, enjoys variety in their work, and thrives in a collaborative environment. You will play a vital role in supporting our daily operations and maintaining efficient administrative and bookkeeping processes. Training and handover will be provided from current Office Administrator.
Key Responsibilities:
- Bookkeeping:
- Sending invoices and reconciling payments against bank statements, typically handling 30-50 invoices per month.
- Converting end-of-month support work into customer invoices.
- Answering basic accounts-related questions from clients.
- Office Administration:
- Stocking up on office snacks, drinks, and supplies.
- Performing occasional clean-up tasks to maintain a tidy workspace.
- Dropping parcels at the post office and managing other ad-hoc errands.
- Answering phones and taking messages
- Recruitment Support:
- Assisting with basic recruitment administration when hiring (e.g., scheduling interviews, organizing resumes).
- Clerical Support:
- Providing administrative assistance to the IT Director, including managing correspondence and clerical tasks.
What We’re Looking For:
- Prior experience in bookkeeping for small businesses preferred, but we are open to providing training for the right candidate.
- Proficiency in accounting software and basic bookkeeping principles. We use Xero; prior experience with the platform is beneficial, but we are happy to provide training for the right candidate.
- Excellent organizational and multitasking skills.
- Strong written and verbal communication abilities.
- A proactive and resourceful mindset with a can-do attitude.
- Ability to work independently and manage time effectively.
